Microsoft Teams Rooms - What you need to know until 30.09.2023

Is Microsoft Teams Rooms Standard already in use at your company? Here comes an important change that you should not overlook. As of 10/01/2023, Microsoft Teams Rooms Standard licenses will no longer work. This means you'll have to make a choice: Either the free Microsoft Teams Rooms Basic license or the Microsoft Teams Rooms Pro license for Fr. 39.40 per month with an annual contract through CSP.

What does each license offer?

Microsoft Teams Rooms Pro: This premium version gives you enhanced room meeting experiences, such as intelligent audio and video, as well as dual screen support. Additionally, it allows for advanced management features, making it ideal for larger organizations or those with special requirements.

Microsoft Teams Rooms Basic: For organizations that need basic functionality, this license provides core meeting experiences, such as scheduling and attending meetings, at no additional cost. Note that this license is limited to 25 systems in your organization.

Variants and management of team room systems

Technical details: A Teams Room system represents a modern solution for collaboration and can come in a variety of flavors. The system could either exist as Teams Rooms under a Windows computer module with a touch console attached, or as Teams Rooms on an Android device connected to a touch console - and this connection can be either IP-based or USB. In addition, there is also the option of a Surface Hub. It is important to note that the type of remote management tasks available in Teams Admin Center for a specific Teams Room system or device is directly affected by the license assigned to that specific system or device.

Grace periods for user licenses

User licenses are not allowed for meeting devices and had to be replaced with team room licenses by July 1, 2023. Devices without this license will receive a grace period until September 30, 2023. After that, a hold will be placed until proper licensing is obtained. Only Teams Rooms Basic or Pro licenses should be assigned to Teams Rooms devices; shared licenses are incompatible.

Important: License update for team rooms

Legacy licenses are not automatically renewed. Upon expiration, you must purchase a Teams Rooms Pro (recommended) or Basic license. Pro licenses are available from the Microsoft 365 Admin Center or other sales channels, Basic licenses are only available from the Admin Center.
